Employee Referral Policy
It is anticipated that Win Thein & Sons will need to hire a greater number of external candidates than it has in the past and to meet increased workload requirements.
Given the tight labor market for individuals with the skills needed for many of the Company’s positions, we seek to supplement our existing sources of quality candidates with recommendations from existing employees. Potential sources of employee referrals include individuals who our employees know from former jobs, university, professional organizations, or social networks, as well as those they meet at seminars, conferences, or from their participation in online forums.
The Employee Referral Reward Programmed is therefore, an additional aid to effective recruitment and is designed to support all existing recruitment policies and practices.
Any eligible employee of Win Thein & Sons who first introduces, for an external vacancy, an individual who is subsequently employed into the position will be eligible for a referral reward. The reward paid will be dependent on the type of position to be filled as outlined in Section 4.3 of this document.
The reward is payable after the referred candidate has been employed by Win Thein & Sons for 90 days.
It is subject to both the referred candidate and the referring employee still being employed by the Company at the time the reward is due for payment.
To ensure equal opportunity, applications submitted via employee referrals will be considered no differently than any other applications submitted for a vacancy.
Win Thein & Sons recognizes that the best recruiters of new employees can be current employees.
The purpose of this policy is to outline the framework by which existing Win Thein & Sons employees can earn a reward for introducing external applicants to roles in the Company if they are subsequently hired into positions.
Employees are responsible for:
§ Following the process contained in the Employee Referral Reward Programme Policy if they wish to participate in the programme
Human Resources are responsible for:
§ Ensuring processes are in place to facilitate reward payments
§ Funding the payment of the Standard payment amount following successful appointment of a referred candidate recruited in line with the process
§ Managing the process to check and confirm eligibility of referrals made
§ Monitoring and periodic review of the Employee Referral Reward Programme to ensure it continues to support the needs of the Company and its employees
First Line Managers/Supervisors are responsible for:
§ Communicating the Employee Referral Reward Programme as part of the induction process for new starters to Win Thein & Sons
§ The recruiting line manager of the vacancy is responsible for funding the difference between the Standard and Enhanced payment amounts for identified roles following successful appointment of a referred candidate recruited in line with the process
All externally advertised vacancies in Win Thein & Sons are eligible for this Programme. Eligibility criterion also applies to employee referring the candidate and also the candidate being referred:
4.1.1 Vacancy Eligibility
§ There are two levels of reward – Standard and Enhanced. Unless indicated otherwise, all vacancies will be eligible for the Standard level of reward applicable to the job level of the advertised role (see Section 4.3)
§ Some Business-Critical roles may be eligible for an Enhanced level of reward. These roles will be identified through the annual Workforce Planning Process as roles which if left unfilled will have an immediate detrimental impact on the delivery of work. These will have Director level approval.
§ Positions eligible for the Enhanced level of reward will have an ‘enhanced’ clause written at the bottom of the job description and will be designated with a double asterisk (**) before the job title
4.1.2 Employee (referrer) Eligibility
§ All Win Thein & Sons employees are eligible to receive a reward under the Employee Referral Reward Programme except:
§ Employees in the supervisory or managerial line over the vacancy; and
§ Any employee who is involved in any way in the selection of the referred candidate.
4.1.3 Candidate (referee) Eligibility
§ All candidates for eligible positions will qualify as referrals under the Employee Referral Reward Programme except:
§ Current Win Thein & Sons employees;
§ Former Win Thein & Sons employees who left Win Thein & Sons ‘s employ because of redundancy - regardless of how long it has been since they were made redundant;
§ Former Win Thein & Sons employees who left Win Thein & Sons ‘s employ for any reason within the last year;
§ Temporary employees who perform work for Win Thein & Sons, or who performed work for Win Thein & Sons within the past year. This includes all schemes trainees;
§ Consultants, contractors, or agency staff who perform work for Win Thein & Sons, or who performed work for Win Thein & Sons within the past year; and
§ Candidates whose applications were submitted for the vacancy through an advertisement, agency referral, or another direct recruitment activity prior to being received as an employee referral.
§ All vacancies advertised externally to Win Thein & Sons will have the appropriate level of award applied to it by the Resourcing team before being advertised on the Company’s website.
§ An existing employee who has identified a suitable candidate for a particular vacancy must e-mail the completed Employee Referral Form to email@example.com with the candidate’s full name, the vacancy job title and reference number before the candidate submits an application form online.
§ To ensure equal opportunity, all applications submitted via an employee referral will be considered no differently than any other applications submitted for a vacancy.
§ Should the referral meet the process requirements above, the referrer will receive an email confirmation from firstname.lastname@example.org stating the referral will be progressed. A further email will be sent if the referee is successful in the selection process.
In the event that more than one employee recommends the same candidate for a vacancy and that candidate is subsequently hired for the position, the referral reward will be given to the employee who
§ lodged the recommendation with email@example.com first.
§ It is important to note that no reward will be given if
the foregoing process is not followed in full.
§ The employee who has recommended the applicant as part of the Employee Referral Reward Programme will not be a satisfactory referee for references required as part of the pre-employment checking undertaken.
§ There is no limit on the number of referral rewards that may be paid to employees, provided each has met the above criteria.
§ The Company reserves the right to amend or
withdraw the Employee Referral Reward Programme at any time.
§ Depending on the labour market and business requirements, vacancies may change in eligibility status between Standard and Enhanced Reward levels. Any payment due in relation to a successful referral will be made in accordance with the status of the role at the time the candidate referral was actually made.
§ The employee referral reward levels are as follows:
Standard – Staff Level 1- 3
Standard – Staff Level 4 - 8
Standard - Manager
Enhanced - Business Critical Role
§ The reward paid will be in accordance with that applicable to the role the referred candidate is appointed into
§ The reward will be paid in the first available salary payment after the referred candidate has been employed by Win Thein & Sons for 90 days. Both the referred candidate and the referring employee must still be employed by the Company at the time the reward is due for payment.
§ The reward will be paid via payroll and will be subject to tax.
